MEETING DIRECTOR (MD)

This person is critical to the success of any chapter as they are most often the first and last interfacing we have with a guest.  First impressions are lasting, and they are the ones who should make guests feel at home with Leads2Biz.   They should:

  • Sit closest to the entrance and be aware of GUEST arrivals. 
  • Upon arrival, they should immediately stand, greet them, and take them to the front of the diner, away from the meeting, for 2-3 minutes , and cover a few items before seating them:
  • At all times, be pleasant, and get them relaxed and made to feel at ease with Leads2Biz, the meeting and then the members in the chapter.
  • Review agenda: 1) elevator speeches, 2) presentations 3) referral status review and 4) review of professionals needed in the chapter. 
  • Explain the one meeting as a guest.  Explain how there are two applications - a Preliminary and a Membership Application 
  • Give a preliminary chapter application and ask to complete and return before end of meeting today.   Takes  minute.  Explain they may not attend again without completing this form.
  • Take their breakfast order, place it for them, and their $10 to the Treasurer
  • Answer any questions they have before, during and after the meeting.
  • Bring them into the meeting and briefly introduce them. If it's still networking time, 7:30-7:45, introduce them around quickly, but if the meeting has started, seat them down next to yourself or the person who invited them.  Immediately introduce them to the group, and then say, "we'll have you introduce yourself in more detail in a few minutes".  
  • Mention aloud the member or telesales rep who invited and brought them down.  
  • After the meeting ends, take their completed preliminary application, explain the membership committee vote and next steps, and ask what they think of the group, and the meeting.
  • After they answer, let them know the next steps.  A GOOD FIT:    Meeting Director (always on the membership committee with the VP and either the SAA or the Treasurer) can take an immediate "pulse" from the other two, preferably after they've had a chance to review the Preliminary Application, (please- not in front of the guest) as to whether they are being voted in or not, or if more info is needed, ask the guest some questions, invite them to a second meeting if needed, and basically, find out if they are a good fit or not.
  • Once completed, let them know the decision and then how to go online, pay and join Leads2biz.
COMMUNICATIONS between telesales and Meeting Directors:
  • Some Chapters want telesales to find guests only and the chapter will take it from there.  Others wish to have telesales find guests and follow up until they join.   As long as the Meeting Director makes sure the telesales rep is notified of the status of each Guest who attends or not, we are OK. 
  • As soon as possible after the meeting, either via e-mail or a quick call, the Meeting Director, if they did not arrive, should let telesales know this so that they may follow up, and/or find a replacement.  If they did show , the chapter must decide how they'd like to handle the follow up, either the Meeting Director should call the Guest and announce they were voted in or they should call the telesales person (or e-mail) and let them know they were voted in, and they should call and make sure they know the next steps, how to join, how to go on line and pay or how to send a check and where.
